Privacy Policy for Talent Submissions
At Right Voice Casting, we respect and protect the privacy of all talent who submit their information through our Talent Submission Form. This Privacy Policy explains what information we collect, how we use it, and how we keep it secure.
1. Information We Collect
When you complete the Talent Submission Form, we may collect the following information:
- Personal Information (e.g., name, email address, phone number, location).
- Professional Information (e.g., demo reels, voice samples, résumé, website links, union status).
- Optional Information (e.g., headshots/photos, personal values statement, additional notes).
Important: Photos and names are not used or displayed during the initial review process. See Section 4 for details on our blind, audio-only evaluation.
2. How We Use Your Information
The information you provide will be used solely for the following purposes:
- Evaluating your eligibility to join our roster of talent.
- Communicating with you regarding casting opportunities, onboarding, or roster updates.
- Internal record-keeping to maintain an accurate and secure roster database.
We will never sell, rent, or share your personal data with outside parties for marketing purposes.
3. Data Storage & Security (Offline-First)
- Offline storage: Personal information is handled and stored on secure machines that are not connected to the internet.
- Physical records: Key documents may also be retained in paper form within locked, access-controlled physical files.
- Limited access: Access to personal data (digital and physical) is restricted to authorized Right Voice Casting personnel with a legitimate business need.
- Safeguards: We implement reasonable technical, administrative, and physical measures to protect data from unauthorized access, disclosure, alteration, or misuse.
4. Blind Review Policy (Names & Photos Not Displayed)
To support an unbiased casting process:
- No display or sharing of names or photos during the evaluation stage(s). Reviewers and clients engaged in the initial assessment receive audio-only audition materials.
- We de-identify submissions used for evaluation so that decisions are based solely on performance and suitability for the role.
- If you advance to later stages (e.g., callbacks, contracting, scheduling), identity details may be disclosed only as necessary and, where applicable, with your consent.
6. Your Rights
You have the right to:
- Request access to the information we hold about you.
- Request corrections to your information if it is inaccurate or incomplete.
- Request removal of your information from our records, subject to any legal or contractual obligations.
- Request information about whether, when, and to whom any identity details (e.g., name/photo) have been disclosed.

7. Data Retention
Unless otherwise requested, we retain your submission for as long as you remain an active or potential candidate for casting opportunities. Physical and offline records are securely archived and periodically reviewed for relevance.
8. Updates to This Policy
We may update this Privacy Policy periodically. Any changes will be posted on our website with a new “Effective Date.”
